This Policy applies as between you, the User of this Web Site and Reed Exhibitions (Pty) Ltd the owner and provider of this Web Site. This Policy applies to our use of any and all Data collected by us in relation to your use of the Web Site and any Services or Systems therein.

1. DEFINITIONS AND INTERPRETATION

In this Policy the following terms shall have the following meanings:

1.1 "Account": means collectively the personal information, Payment Information and credentials used by Users to access Material and / or any communications System on the Web Site;

1.2 "Content": means any text, graphics, images, audio, video, software, data compilations and any other form of information capable of being stored in a computer that appears on or forms part of this Web Site;

1.3 "Cookie": means a small text file placed on your computer by Reed Exhibitions (Pty) Ltd Ltd when you visit certain parts of this Web Site. This allows us to identify recurring visitors and to analyse their browsing habits within the Web Site.

1.4 "Data": means collectively all information that you submit to the Web Site. This includes, but is not limited to, Account details and information submitted using any of our Services or Systems;

1.5 "Reed Exhibitions (Pty) Ltd": means Reed Exhibitions (Pty) Ltd, Building 8 Country Club Estate Office Park, 21 Woodlands Drive, Woodmead, Gauteng, South Africa;

1.6 "Service": means collectively any online facilities, tools, services or information that Reed Exhibitions (Pty) Ltd makes available through the Web Site either now or in the future;

1.7 "System": means any online communications infrastructure that Reed Exhibitions (Pty) Ltd makes available through the Web Site either now or in the future. This includes, but is not limited to, web-based email, message boards, live chat facilities and email links;

1.8 "User" / "Users": means any third party that accesses the Web Site and is not employed by Reed Exhibitions (Pty) Ltd and acting in the course of their employment; and

1.9 "Website": means the website that you are currently using (www.decorexacademy.co.za) and any sub-domains of this site (e.g. subdomain.yourschool.com) unless expressly excluded by their own terms and conditions.

2. APPLICABLE DATA PROTECTION LAWS

2.1 Reed Exhibitions (Pty) Ltd processes personal information in accordance with the Protection of Personal Information Act, 4 of 2013 (“POPIA”). Where users are located in the European Union, or where Reed processes personal information relating to identifiable natural persons within the European Economic Area, Reed shall also comply with the applicable provisions of the General Data Protection Regulation (EU) 2016/679 (“GDPR”). Reed is committed to ensuring that all processing of personal information is lawful, reasonable, and carried out in a manner that respects the privacy rights of data subjects in accordance with these legal frameworks.

3. DATA COLLECTED

Without limitation, any of the following Data may be collected:
3.1 name;
3.2 date of birth;
3.3 job title & profession;
3.4 contact information such as email addresses and telephone numbers;
3.5 demographic information such as post code, preferences and interests;
3.6 financial information such as credit / debit card numbers;
3.7 IP address (automatically collected);
3.8 web browser type and version (automatically collected);
3.9 operating system (automatically collected);
3.10 a list of URLS starting with a referring site, your activity on this Web Site, and the site you exit to (automatically collected); and
3.11 Cookie information (see Clause 10 below).

4. PURPOSE OF PROCESSING AND USER NOTIFICATION

4.1 Reed collects and processes personal information solely for the purposes for which it is required, including the administration of user accounts, authentication of access to the platform, processing of payments, delivery of learning content, fulfilment of contractual obligations, compliance with legal requirements, and communication with users regarding their account or the services provided. Where the provision of personal information is mandatory to enable access to the platform or to complete a transaction, users will be informed at the point of collection. Personal information will only be shared with third parties where such disclosure is necessary for fulfilling the stated purposes, required by law, or where the user has expressly consented to such sharing. Reed hereby notifies users, as required by POPIA Section 18 and GDPR Articles 12 to 14, of the purposes of processing, categories of recipients, user rights, and the contact details of the responsible Information Officer.

5. OUR USE OF DATA

5.1 Any personal Data you submit will be retained by Reed Exhibitions (Pty) Ltd for as long as you use the Services and Systems provided on the Web Site. Data that you may submit through any communications System that we may provide may be retained.

5.2 Unless we are obliged or permitted by law to do so, and subject to Clause 4, your Data will not be disclosed to third parties. This includes our affiliates and / or other companies within our group.

5.3 All personal information is stored and secured in accordance with the requirements of the Protection of Personal Information Act, 4 of 2013 (“POPIA”), including Sections 19 to 22 relating to security safeguards, and, where applicable, the General Data Protection Regulation (EU) 2016/679 (“GDPR”), specifically Articles 5(1)(f) and 32. Reed Exhibitions (Pty) Ltd implements appropriate, reasonable technical and organisational measures to ensure the confidentiality, integrity and availability of personal information under its control.

5.4 Any or all of the above Data may be required by us from time to time in order to provide you with the best possible service and experience when using our Web Site. Specifically, Data may be used by us for the following reasons:
5.4.1 internal record keeping;
5.4.2 improvement of our products / services;
5.4.3 Users may object to or opt out of receiving direct marketing communications at any time, free of charge, by using the unsubscribe link contained in each communication or by contacting the Information Officer directly. Reed maintains internal records of all marketing consent and opt‑out requests in accordance with legal requirements.

5.5 In accordance with POPIA, Reed processes personal information only where such processing is lawful, reasonable, and justified. Processing is undertaken on one or more of the grounds permitted under Section 11 of POPIA, including where the processing is necessary to give effect to a contract or to comply with a legal obligation, where it is carried out with the consent of the data subject, or where the processing is necessary for pursuing Reed’s legitimate interests or those of a third party to whom the information is supplied, provided such interests are not overridden by the rights of the data subject.

5.6 Where GDPR applies, Reed processes personal information on the following lawful bases: (i) the processing is necessary for the performance of a contract to which the user is a party, including the provision of access to the Decorex Academy platform; (ii) the user has provided consent for specific processing activities, such as receiving marketing communications; (iii) processing is necessary for compliance with legal obligations to which Reed is subject; or (iv) processing is necessary for the purposes of Reed’s legitimate interests, including fraud prevention, service improvement, and ensuring the security and integrity of the platform, except where such interests are overridden by the fundamental rights and freedoms of the user.

5.7 Where Reed relies on legitimate interests as a lawful basis for processing personal information, including for purposes such as service improvement, platform security, fraud prevention, internal analytics, and limited direct marketing to existing Users, Reed conducts and documents an appropriate assessment to ensure that such interests are not overridden by the rights, freedoms, or legitimate expectations of the data subject.

5.8 Direct marketing communications are sent only in accordance with applicable law. Users may object to the processing of their personal information for direct marketing purposes at any time, free of charge, and Reed will give effect to such objections promptly. Where consent is required for marketing communications, Reed will obtain such consent prior to processing and will maintain records of consent in accordance with legal requirements.

6. YOUR DATA PROTECTION RIGHTS

6.1 Users have the right to exercise their data protection rights in accordance with POPIA and, where applicable, the GDPR. These rights include the right to request access to their personal information, to request correction or deletion of inaccurate or outdated information, to object to or restrict the processing of their personal information, and to withdraw consent where processing is based on consent. Under GDPR, users also have the right to data portability and, in certain circumstances, the right to request the erasure of their personal information (“right to be forgotten”). Reed will respond to all data subject requests within the time periods prescribed by applicable law. Users may submit any such requests to the Information Officer using the contact details provided below.

7.SUBSCRIPTIONS TERMS

7.1 Access to the Decorex Academy is provided on a 12-month subscription basis. The cost of the 2026 subscription is R550.00. All subscriptions are non-recurring, and there is no automatic renewal. At the end of the 12-month term, Users must manually renew by making a new payment to retain access.

7.2 All subscription payments are final and non-refundable, including cases of early cancellation, unused subscription periods, or failure to use the platform. Subscription grants Users access to platform content for 12 months from the payment date. If a User does not renew, access will be suspended until payment for a new term is made.

7.3 These subscription terms protect Reed from disputes regarding renewal, chargeback attempts, or claims relating to expired access periods.

7.4 Nothing in these Subscription Terms limits or excludes any rights that Users may have under applicable South African consumer protection legislation, including the Consumer Protection Act, 68 of 2008 (“CPA”), and, where applicable, the Electronic Communications and Transactions Act, 25 of 2002 (“ECTA”). Users who qualify for ECTA’s seven-day cooling-off period for electronic transactions may cancel their subscription within the statutory period and receive a refund, subject to the conditions prescribed in the Act. Users retain all rights and remedies available to them where the services provided by Reed are defective, not delivered, or materially fail to meet the standards of quality and performance required under the CPA.

8. THIRD PARTY WEB SITES AND SERVICES

8.1 Reed may engage third‑party service providers (“Operators”) to process personal information on its behalf for purposes including payment processing, hosting, analytics, technical support, marketing services, or other operational requirements. All Operators are appointed under written agreements that comply with POPIA Sections 20 and 21, and, where applicable, GDPR Article 28.

8.2 Operators may process personal information only on Reed’s documented instructions, must maintain the confidentiality of such information, and must implement appropriate and equivalent security safeguards. Reed remains responsible for ensuring that Operators comply with applicable legal requirements when processing personal information on its behalf.

9. CROSS-BORDER TRANSFERS OF PERSONAL INFORMATION

9.1 Personal information may be transferred to, and processed in, countries outside of South Africa. Where such transfers occur, Reed shall ensure that the recipient is subject to a legal regime or binding agreement that provides an adequate level of protection in accordance with POPIA Section 72. Where GDPR applies, Reed will rely on a lawful transfer mechanism, including EU Standard Contractual Clauses (SCCs), an adequacy decision, or explicit consent from the User, as required under GDPR Chapter V.
Appropriate contractual and organisational safeguards will be implemented to ensure continued protection of personal information during any cross-border transfer.

10. CHANGES OF BUSINESS OWNERSHIP AND CONTROL

10.1 Reed Exhibitions (Pty) Ltd may, from time to time, expand or reduce its business and this may involve the sale of certain divisions or the transfer of control of certain divisions to other parties. Data provided by Users will, where it is relevant to any division so transferred, be transferred along with that division and the new owner or newly controlling party will, under the terms of this Policy, be permitted to use the Data for the purposes for which it was supplied by you.

10.2 In the event that any Data submitted by Users will be transferred in such a manner, you will be contacted in advance and informed of the changes. When contacted you will be given the choice to have your Data deleted or withheld from the new owner or controller.

11. CONTROLLING ACCESS TO YOUR DATA

11.1 Wherever you are required to submit Data, you will be given options to restrict our use of that Data. This may include the following:
11.1.1 use of Data for direct marketing purposes; and
11.1.2 sharing Data with third parties.

12. YOUR RIGHT TO WITHHOLD INFORMATION

12.1 You may access certain areas of the Web Site without providing any Data at all. However, to use all Services and Systems available on the Web Site you may be required to submit Account information or other Data.

12.2 You may restrict your internet browser’s use of Cookies. For more information see Clause 10 below.

13. ACCESSING YOUR OWN DATA

13.1 You may access your Account at any time to view or amend the Data. You may need to modify or update your Data if your circumstances change. Additional Data as to your marketing preferences may also be stored and you may change this at any time.

13.2 Reed will process requests for access to personal information in accordance with POPIA and the Promotion of Access to Information Act, 2 of 2000 (“PAIA”). Reed will respond to all access requests as soon as reasonably practicable, and ordinarily within 20 business days, subject to any lawful extension periods. The first copy of the personal information requested by a User will be provided free of charge, unless a fee is prescribed under applicable PAIA regulations. Users should consult Reed’s PAIA Manual for details of the prescribed procedure and applicable forms.

14.SECURITY

14.1 Data security is of great importance to Reed Exhibitions (Pty) Ltd and to protect your Data we have put in place suitable physical, electronic and managerial procedures to safeguard and secure Data collected online.
14.2 Reed’s security measures include, but are not limited to:
14.2.1 encryption of personal information in transit and at rest;
14.2.2 multi-factor authentication and strict access controls;
14.2.3 role-based access permissions;
14.2.4 regular vulnerability assessments and penetration testing;
14.2.5 system monitoring, logging, and incident detection tools; and
14.2.6 ensuring that Operators implement equivalent safeguards.

14.3 Reed implements appropriate, reasonable and risk-based technical and organisational measures to protect personal information, taking into account the nature of the information, the purposes of processing, and the risks presented. The security measures described in this Policy are indicative of the safeguards employed and may evolve over time in response to technological developments, operational requirements, and emerging threats. Reed does not warrant that its security measures will prevent all unauthorised access, loss, or misuse of personal information, but undertakes to continuously assess and improve its safeguards in accordance with applicable legal requirements and industry standards.

15. LIMITATION OF LIABILITY

15.1 To the fullest extent permitted by applicable law, Reed Exhibitions (Pty) Ltd shall not be liable for any indirect, incidental, special, consequential or punitive damages, including but not limited to loss of profits, loss of revenue, loss of data, business interruption, or reputational harm, arising out of or in connection with the processing of personal information, the use of the Website, or the provision of the Services.

15.2 Reed’s total aggregate liability arising from or relating to the processing of personal information under this Privacy Policy, whether in contract, delict, statute or otherwise, shall be limited to the extent permitted by law and, where
applicable, shall not exceed the amount paid by the User to Reed for the relevant Services in the twelve (12) months preceding the event giving rise to the claim.

15.3 Nothing in this Privacy Policy shall be construed as excluding or limiting any liability which cannot lawfully be excluded or limited under the Protection of Personal Information Act, the Consumer Protection Act, the Electronic Communications and Transactions Act, or any other applicable law.

16. DATA RETENTION

16.1 Reed retains personal information only for as long as is necessary to achieve the purposes for which it was collected, or as required by law. Retention periods are determined based on contractual obligations, legal requirements, operational necessity, and legitimate business interests. Generally:
16.1.1 account and transactional records are retained for five years for tax and audit compliance;
16.1.2 support and communication records are retained for up to 24 months;
16.1.3 direct marketing information is retained until the User withdraws consent or for 24 months following last interaction; and
16.1.4 after expiry of retention periods, personal information is securely deleted, destroyed, or anonymised in accordance with POPIA.

17. DATA BREACH NOTIFICATION

17.1 Reed implements appropriate technical and organisational measures to prevent unauthorised access to or disclosure of personal information. In the event of a data breach that compromises personal information, Reed will notify the South African Information Regulator, affected users, and—where applicable under GDPR—the relevant supervisory authority within the timelines prescribed by law. Notifications will include sufficient information to enable affected users to take protective measures, including a description of the nature of the breach, the categories of information affected, and steps taken by Reed to remediate or mitigate the incident.

18. CHANGES TO THIS POLICY

18.1 Reed Exhibitions (Pty) Ltd reserves the right to change this Privacy Policy as we may deem necessary from time to time or as may be required by law. Any changes will be immediately posted on the Web Site and you are deemed to have
accepted the terms of the Policy on your first use of the Web Site following the alterations.

19. COOKIES AND TRACKING TECHNOLOGIES

19.1 Reed uses cookies and similar technologies to enhance the functionality of the Website, improve User experience, and analyse Website performance. Cookies are categorised as follows:
19.1.1 Strictly Necessary Cookies – required for the operation of the Website and cannot be disabled.
19.1.2 Analytics Cookies – used to understand how Users engage with the Website, only activated with the User’s consent.
19.1.3 Marketing Cookies – used to deliver targeted advertising and personalised content, activated only with the User’s explicit consent.

19.2 Upon first accessing the Website, Users will be presented with a cookie consent banner enabling them to accept or reject non-essential cookies.
